Intelligent email in Outlook
Intelligent email in Outlook is drafting, summarising and coaching in the place people already live — with humans still pressing Send.
What it is
Microsoft 365 Copilot in Outlook helps summarise threads, draft replies, and coach tone and length. Microsoft also documents Copilot Chat in Outlook with organisational grounding across supported mail, calendar, meetings and related content even for some Chat-eligible scenarios — while the full Microsoft 365 Copilot licence still provides broader Graph / Work IQ reasoning across Microsoft 365. Always check the current Learn comparison table before you brief stakeholders.
Where it sits in the stack
Outlook is a Microsoft 365 app surface. Chat entitlement and Copilot add-on (or E7) determine depth. Agents and Studio can extend mail workflows; Foundry is rarely the first stop for inbox work.
Key features / capabilities
- Summarise long threads and extract action items.
- Draft and rewrite with custom instructions for tone and length.
- Schedule a meeting from an email with agenda and attendees (where released).
- Chat with Copilot in Outlook over supported organisational content.
- Sensitivity label inheritance when Copilot drafts from labelled files (Purview behaviour).
Who it is for / when to use
High-volume mail roles: support leads, executives’ offices, sales. Require human review before Send on customer and legal mail.
Chat in Outlook vs full Copilot
Microsoft’s Copilot Chat overview draws a useful line: Copilot Chat in Outlook can ground on inbox, calendar, meetings and a bounded set of related content for eligible users, even without the full Microsoft 365 Copilot add-on. The licensed Copilot experience still goes further with Work IQ and semantic indexing across Microsoft 365. In practice that means your briefing should never collapse the two into one slide titled “AI in Outlook”. Finance will buy the wrong thing, and users will expect Graph-wide answers they do not have.
Custom instructions for draft tone are useful — and they are also a governance surface. Decide whether instructions are personal preference or organisational standard before they sprawl.
Cost layer
Usually add-on (Microsoft 365 Copilot) or E7 seat. Chat-in-Outlook capabilities for eligible Chat users are narrower — do not sell them as full Copilot. See Managing cost and the feature matrix.
Risk and governance
S/MIME and some encryption paths block Copilot. Labels and DLP still apply. See Purview guidance for Microsoft 365 Copilot. More: Managing risk.
Adoption tip
Coach “draft then edit” not “send AI verbatim”. Measure reply-time on a named queue, not vanity prompt counts. Habits: Adoption.
