Microsoft 365 Copilot
Microsoft 365 Copilot is the paid path for work-grounded chat and Copilot inside Word, Excel, Outlook, Teams and related apps.
What it is
Microsoft Learn describes the licensed Microsoft Copilot experience as extending Chat with broader organisational grounding through Graph API, Work IQ and semantic indexing — across emails, meetings, calendars, chats, documents, sites and files the user can already access. It also adds priority access, advanced agents (such as Researcher and Analyst), and deeper integration across Microsoft 365 workflows. On Microsoft 365 E7, Copilot is included in the suite rather than purchased as a separate add-on.
Where it sits in the stack
Above Chat, beside the apps people already use. Agents and Studio extend it. Foundry is for custom engines that Chat/Copilot cannot cover.
Key features / capabilities
- In-app Copilot in Word, Excel, PowerPoint, Outlook, Teams, OneNote (as licensed and rolled out).
- Work chat that synthesises across Graph content the user can access.
- Priority access to models and advanced reasoning vs standard Chat capacity.
- First-party agents such as Researcher and Analyst for licensed users.
- Extensibility via connectors, declarative agents and plugins within admin policy.
Who it is for / when to use
Frequent users with named workflows: meeting follow-up, long-document drafting, spreadsheet analysis, mail triage. Do not assign seats “in case”.
What “work grounding” actually means
Work grounding is not “the AI can see the whole company”. It is “the AI can reason over content this user is already allowed to see”, via Graph, Work IQ and semantic indexing. That is why SharePoint oversharing becomes Copilot oversharing. It is also why a clean information architecture and sensitivity labels are readiness work, not optional polish.
In-product labels help users see which experience they have. Train helpdesks on that vocabulary so tickets do not become “Copilot is broken” when the user only has Chat.
Cost layer
Add-on on eligible E3/E5 bases, or included in E7. Still budget meters for Studio agents and connectors that bill usage. See Managing cost and the feature matrix.
Risk and governance
Oversharing remains the top risk. Fix SharePoint permissions and labelling before a wide rollout. More: Managing risk.
Adoption tip
Buy seats for a cohort with a measure. Expand only when the measure moves. Habits: Adoption.
